If you’ve been in the virtual assistant space for a while, you know our golden rule here at The Admin Hive: never give your personal phone number to clients. When clients have direct access to your phone, “scope creep” turns into “message creep.” Suddenly, you’re receiving “quick questions” at 9:00 PM on a Sunday via WhatsApp, completely obliterating your work-life balance.
So, when Meta announced a massive new feature – the WhatsApp username update – the remote work community collectively gasped with excitement. Finally, a way to use WhatsApp without giving out your private digits!
But before you rush to set up your new username, we need to talk about the hidden catch that could actually make your boundary problems worse.
The Good News: How the Feature Works
Traditionally, WhatsApp has been tied directly to a SIM card and a phone number. If you wanted to chat, you had to hand over your number.
With the recent update, WhatsApp is introducing unique usernames. This means you can create a handle (like @TheaAdminHive) and share that instead of your actual phone number. The person on the other end can message you, but your phone number remains completely hidden.
On paper, this sounds like the ultimate win for privacy. You get to keep your personal life personal, while still using a tool that many clients prefer for quick updates.
The Catch: The Hidden Search Function
Here is the part that every Virtual Assistant needs to watch out for.
If you opt for a username, and you naturally link it to your actual name or your business name (for example, @TheAdminHive), clients and prospects can actively search for you using that username within WhatsApp.
Imagine this scenario: A client knows your name and your business. Even if you explicitly told them in your onboarding process, “I only communicate via Asana and email,” they can simply type your name into WhatsApp’s search bar, find your account, and shoot you a message anyway.
Suddenly, the wall you built to protect your evenings and weekends is breached – not because you gave out your number, but because your public username made you too easy to find.
How to Navigate the Update Safely
You don’t have to avoid the update entirely, but as a business owner, you need to use it strategically:
- Be Intentional with Your Handle: If you want to use WhatsApp solely for family and close friends, do not use your business name or full name as your username. Make it something private that clients can’t easily guess.
- Stick to Your Onboarding Contracts: A tech feature should never overrule your business boundaries. If a client finds your username and messages you, gently redirect them back to your approved channels: “Hi Client! I don’t use WhatsApp for business communication. Please drop this into ClickUp so it doesn’t get lost!”
- Consider a Dedicated Business Account: If you must use WhatsApp for work, use WhatsApp Business with a completely separate virtual number (like a Skype or virtual SIM number), rather than mixing your personal account with a public username.
